Five AI agents a Singapore SME can build in one day are an inbox agent, an invoice agent, a lead follow-up agent, an HR Q&A agent and an agent for a task of your own. Each hands the routine steps of a repetitive, rule-based task to AI and keeps a person in charge of the decisions.
These are the kinds of agents learners build, or choose from, in our one-day class. If the term is new to you, start with What Is an AI Agent?
What can each of the five agents do?
| Agent | Best for | What it does | What stays human |
|---|---|---|---|
| Inbox agent | Any department | Summarises the inbox each day, sorts by urgency and drafts replies to routine queries | Reading and replying to important messages |
| Invoice agent | Finance and admin | Drafts purchase requisitions and orders, updates invoices and asks for sign-off when needed | Approving payments and handling exceptions |
| Lead follow-up agent | Sales and marketing | Logs and answers website and WhatsApp enquiries and keeps the history for handover | The sales conversation |
| HR Q&A agent | HR and operations | Answers leave and claims questions from internal policy documents and routes sensitive queries to a manager | Sensitive and personal cases |
| Your own agent | Any | Takes one task from your own week and automates the routine steps | Whatever you decide needs your judgement |
What does an inbox agent do?
An inbox agent reads incoming email, sorts it by urgency, drafts replies to routine queries and produces a short daily summary. You review the drafts and send them. It works best when you can state what counts as routine, such as meeting requests, document requests or standard price questions. Our guide to AI for email and calendar management covers the wider set of inbox tasks.
What does an invoice agent do?
An invoice agent drafts purchase requisitions and purchase orders and updates invoice records across the systems your team uses. When a step needs approval, it asks for sign-off instead of carrying on. A person still approves the payment and handles anything unusual, such as a mismatch between an order and an invoice.
What does a lead follow-up agent do?
A lead follow-up agent logs and replies to enquiries that come in through your website and WhatsApp, and keeps the full conversation history so a salesperson can pick up where it stopped.
We use this ourselves. When someone registers through a form on one of our landing pages, an automated WhatsApp message goes out straight away. When someone fills in our interest form at a conference, they receive a follow-up by email and WhatsApp. When one of our team enters the chat, the bot goes to sleep so that a person can take over. We started because our leads from ads converted poorly, and the cause was slow manual follow-up. After we automated the first reply, the response rate went up by 50% and the enrolment rate rose too.
Our guides on customer journey automation by stage and the student journey map describe how it fits into the enquiry journey. For sales teams, AI tools for CRM covers the system side.
What does an HR Q&A agent do?
An HR Q&A agent answers routine questions, such as leave and claims, from your internal policy documents. When a question is sensitive or personal, it routes the person to a manager instead of answering. Keep the policy documents current, because the agent can only be as accurate as its source. Staff data counts as personal data, so read our PDPA checklist for using AI on customer data first. It is practical guidance and is not legal advice.
What could your own agent do?
The best agent for your team is often the one that removes a task you dislike. Look at your week for work that repeats, follows clear rules and ends with someone checking the result. Our guide to a task audit and decision matrix shows how to find it.
How do you choose your first agent?
Choose a task that meets all of these tests:
- It repeats at least weekly.
- You can write the rules down.
- A mistake is cheap, and a person can spot it quickly.
- You are allowed to use the data it needs.
What should you check before you build?
- Who approves. Decide which steps need a person’s sign-off.
- What data it touches. Give it only what the task needs, and check privacy settings.
- A test run. Run the agent alongside your manual process for a week and compare the results.
- An owner. Name one person who is accountable for what the agent does.
Frequently asked questions
What is the easiest AI agent to start with?
An inbox agent is a common first choice. The rules are easy to state, and a person can check each draft quickly before it goes out.
Can a small business build an AI agent without a developer?
For work agents like these, yes. Our AI-Powered Productivity course is built for professionals with no coding or AI experience, and learners build an agent for a real process from their own work.
How long does it take to build an AI agent?
In our one-day course, learners build and test one agent in the class. An agent that connects several systems or handles many exceptions takes longer to design and test.
Can an AI agent answer WhatsApp enquiries?
Yes. We use automated WhatsApp replies to follow up with people who register interest, and the bot hands over to a person as soon as one of our team joins the chat.
Does the PDPA apply to AI agents?
The PDPA applies when an agent handles personal data, such as customer or staff details. Check what data the tool stores, limit what it can access and read the PDPC’s own guidance. Our checklist is a starting point and is not legal advice.
