ChatGPT vs Claude vs Copilot vs Gemini for Work: Which to Use

Four AI assistants on separate screens being compared with a tick grid in a notebook

Last updated: 2 November 2026

There is no single best AI tool for work. Choose by where your team already works: Microsoft Copilot suits teams on Microsoft 365, Google Gemini suits teams on Google Workspace, and ChatGPT and Claude work well as standalone assistants for drafting, analysis and thinking through problems. Test each on one real task before you decide.

These are the four tools we teach in our AI-Powered Productivity course. Features and plans change often, so check each vendor’s current terms before you commit your team.

How do you test them fairly?

  1. Pick one real task from your week, such as summarising a report or drafting a client reply.
  2. Give each tool the same prompt and the same material.
  3. Score each result on accuracy, tone, how much editing it needs and how long it took.
  4. Check what each tool does with your data, and who in your company can see it.
  5. Choose the tool your team will actually use, and review the choice after a month.

A well-structured prompt matters more than the brand. Our guide to ChatGPT prompts for busy professionals works with any of the four.

What should you check on cost and privacy?

  • Plans. Free and paid plans differ in limits and features, and they change.
  • Data handling. Find out whether your inputs are stored or used to improve the model, and who can see them.
  • Company policy. Follow your organisation’s rules on which tools and data are allowed.
  • Personal data. Customer and staff details need extra care. Our PDPA checklist for using AI on customer data is practical guidance and is not legal advice.

Frequently asked questions

Which is better for work, ChatGPT or Claude?

Neither wins on every task. Both are strong general assistants, and the better one for you depends on your task, your prompt and your plan. Run the same real task through both and compare the results.

Is Microsoft Copilot better than ChatGPT for Microsoft 365 teams?

Copilot has an advantage when the work happens inside Word, Excel, Outlook and Teams, because it works alongside those apps. ChatGPT can still be useful for drafting and analysis outside them. Test both on your actual tasks.

Should my team use more than one AI tool?

It can help, but start with one so people learn it well. Add a second only when a clear job needs it, and keep a short list of approved tools.

Can I use the free version of these tools for work?

Free versions often have limits and may handle data differently from paid or business plans. Read each tool’s terms and your company’s policy before you put work data into it.

Which AI tool should I learn first for work?

Learn the one your team already has access to. The skills of writing a clear prompt, checking the output and deciding what to automate carry over from one tool to another.
